At most RIA firms running a custodian transition, that arithmetic surfaces fast. There are documents to retrieve, fields to verify, accounts to reconcile, and compliance checkboxes that require evidence. Every step that requires a human to open a file, read it, and move information somewhere else is a step that doesn’t scale.

The firms that get through transitions without hiring a temporary team or extending their timeline are the ones that had already automated the document layer. Not because they anticipated the transition — most didn’t — but because the same infrastructure that makes day-to-day onboarding faster also makes a transition manageable.

When a custodian transition hits, the question isn’t whether the data is somewhere. It’s whether someone can get to it, verify it, and move it in time. That answer is determined months before the transition starts, by the infrastructure decisions the firm made when nothing was urgent.
